Migration Protocol


Clients Interested in Migrating to Our New Editor

If a client is on the Old Editor and expresses interest in our new designs please follow these steps to get them added to our "Migration Waiting List".

If a client wants to move to our new platform, great! It will take about 2 weeks before they get migrated and QC-ed. Once they’ve been fully migrated, we will reach out for their approval. Remember, this isn't a simple click-of-a-button design change, so it takes time. The old time frame was about 2 months, so we've come a long way in being able to migrate clients!

Once you establish this timeline with them, you can send them the link to our design gallery (best viewed on Firefox or Google Chrome) where they can look at our design options. If they don't know what design they want at this point, that's okay, they can email us at any point while they are on the waiting list and we will build their new site from the appropriate template. If they don't make a choice by the time it is their turn, we will reach out to them. At this point, you will send them an email with a link to our design gallery, you can use the stock emails.

We also have a spreadsheet to track "Clients that want to be moved to the new editor"
Find the client on the spreadsheet and update the date, design choice/color, and add your name and ticket number (if applicable)

Eventually, we will have most of our clients moved over, so if you see a client that is on the old editor, PLEASE bring up the importance of migrating.


Migration Contact Protocol

We Manage the Domain

  • Self-picked migration
    • These should be auto set to live unless client requested to review the site
    • If client asked to see site first, contact normally for 30 days and then give the 14 day notice if no changes are being made to the site or client is unresponsive
  • Forced migration
    • Contact normally for 30 days and give 14 day notice if no changes are being made to the site or client is unresponsive

We DON’T Manage the Domain

  • Self-picked migration
    • Contact normally for 30 days and then give the 14 day notice if no changes are being made to the site or client is unresponsive
  • Forced migration
    • Contact normally for 30 days and give 14 day notice if no changes are being made to the site or client is unresponsive

*give ticket to IT Joe to make site live once the 14 day notice is up*

**you can send the 14 day notice to any migration ticket as long as client is unresponsive / not making changes -- no need for approval to send the notice**


Migrations & Additional Edits

When reaching out to clients for migration approval, often times they will request additional edits to their new website. If a client is requesting edits before going live, a new ticket needs to be opened for the edits. Do not add the request directly in the migration ticket, please follow this process:

  1. Open a new ticket for any requested edits.
  2. Note the migration ticket that you are waiting on edits that are in progress.
  3. Once edits are complete, then you can resume contact on the migration ticket.

When a client is going through the migration process, there is a timeframe where they have one site active, but both sites need to be updated.

For example: Client has their old website live. Migration has been completed but they have not approved the new site to be made live.

If a client requests an edit to their current (old) website, we need to make sure that the changes get made on both editor, or once the change to the new website is made, any recent changes would be lost because they are on the old editor.

In this situation, please tag your tickets as “-Both Editors”

When we see this tag, the team leads will first send the ticket to get updated on the old system, then when that is complete, we will send it to our other production team to complete this on the new editor. This ensures that both versions of the website are up to date with the client’s most recent requests. By doing this, no changes will be lost when the nameservers are changed.
